Part 1 · A 2:41 walkthrough

What happens after someone fills out your contact form.

One inquiry at a sample estate planning firm, followed from the contact form on its website to the consultation prep the attorney reads before they meet. Every email along the way goes out on its own.

The consultation prep for Thomas Jones: five red flags, no name matches, zero of six items verified.

Part 2 · After the consultation

Your decision starts the rest.

The video stops at the consultation because the consultation is yours. Once you've met, you make one decision on the lead's page. If you accept, the engagement letter and payment request go out together, and the matter opens once they've signed and paid.

  1. The accept form for Thomas Jones: a $3,200 flat fee, with a suggested matter name and a scope of engagement drafted from his intake answers.
    Decision

    Accept, and set the terms.

Accepting is where you set the terms of the engagement, with a matter name and scope already drafted from their intake answers for you to keep or rewrite. Declining sends them a non-engagement letter instead.

  2. The email Thomas receives from Alderbrook Law, asking him to review and sign the engagement letter.
    Engagement letter

    Your letter, with your terms.

The engagement letter goes to them for e-signature, built from your firm's template, their intake answers and the terms you set.

  3. The payment step in the same email: a flat fee of $3,200.00 and a Pay Securely Now button.
    Payment

Payment goes out with the letter.

The same email carries a secure link to pay. The request follows the matter's fee arrangement, and the payment goes to your trust account. The lead's page shows signature and payment side by side, so you can see which is still outstanding.

  4. A client's page with the matter snapshot: matter name, number and open date.
    Matter

The matter opens once both are done.

When the letter is signed and the payment made, the matter opens with its own number, the client record is created, and they get a welcome email.
